How to write a stock controller CV

A stock controller CV needs to show how you keep physical stock and system records aligned, investigate differences and help the operation make decisions using reliable information. Counting experience matters, but the strongest applications also explain what happens when a count is wrong.

Give the employer a clear picture of your setting. A distribution centre, factory, builders’ merchant and technical stores department can all employ stock controllers, with quite different priorities. Choose evidence that matches the movement of goods and the responsibilities in the vacancy.

Establish the stock and operation you know

Open with your stock-control background, the goods you handle and the main systems or responsibilities relevant to the job. Ambient retail products, chilled food, manufacturing components and project materials each provide useful context. Include shift patterns or multi-site experience where these affect the role.

For each employer, add a short scope statement before the achievements. This could give the number of active product lines, warehouse locations, sites or regular counts. Choose a measure you actually work with: 3,800 product lines describes variety, while daily pallet receipts describes movement.

Ryan’s example establishes an ambient distribution operation and progression from the warehouse floor. The rest of the CV then shows the investigations, records and working relationships behind that experience.

Explain your contribution to counts and investigations

Be specific about your part in perpetual inventory, cycle counts or full stocktakes. There is a useful distinction between completing assigned counts, setting the count schedule, allocating work, checking recounts and reconciling the results. Describe the stages you handle.

Investigation examples help an employer assess your judgement. An entry might explain that you traced recurring differences to receipt timing, mixed case quantities, unrecorded returns or stock in the wrong location. Follow this with the action agreed and the result.

For example: “Investigated repeat differences on promotional multipacks and worked with goods-in colleagues to revise case labels on 60 lines.” This says more than “responsible for stock accuracy” because it identifies a problem and your contribution to resolving it.

Include the evidence you prepare: transaction histories, delivery notes, count records, photographs of damaged goods or exception reports. If you submit adjustments for approval, that is useful responsibility in its own right. Senior applicants can also describe approval limits, audit support or the controls they oversee.

Make accuracy figures understandable

Stock accuracy can be measured by locations, product lines, units or value. Give the basis of the measure alongside the improvement. A count of exact-match locations is different from a value-weighted accuracy percentage, and the distinction helps a recruiter assess the result.

Ryan’s CV uses 242 out of 250 locations and 248 out of 250 in monthly samples, with a defined period. The wording gives the scale and makes clear that the result relates to sampled locations. If your employer uses a standard KPI, you can give its name and a brief explanation.

Other useful results include fewer aged discrepancies, faster investigation turnaround, a smaller backlog of held stock, more counts completed to schedule or less time preparing reconciliations. Pair speed with the relevant checking responsibility so the reader understands what became more efficient.

Availability, short shipments, waste and write-offs may involve several teams. Describe the work you contributed and the operational result it supported. A focused example about resolving a recurring booking error can be more persuasive than a broad claim about improving the entire supply chain.

Show what you do in WMS, ERP and Excel

Name the warehouse management or enterprise resource planning systems you use, then connect them to tasks. Receipts, location transfers, stock status, returns, adjustments and transaction enquiries communicate different experience. Include RF scanning where it is part of your working routine.

A concise skills entry might read “Blue Yonder WMS: inventory enquiries, count records, held-stock monitoring and adjustment requests”. Employment bullets should provide the evidence of how those functions support the operation.

Excel deserves the same treatment. Lookups, PivotTables, filters and conditional formatting are useful when linked to reconciliation, ageing reports or exception checking. If you use Power Query or maintain a reporting workbook, explain the source data and the work it helps you complete.

Keep the CV centred on the outcome. “Matched receipt and count exports to flag unresolved differences for review” is more informative than a long list of spreadsheet functions. A reporting improvement can also show how you made information easier for the next shift or the finance team to use.

Match your evidence to distribution, manufacturing or stores

Distribution applications benefit from examples involving receipts and despatches, pick locations, returns, short shipments and problem pallets. Explain how you work with operational teams while maintaining an accurate record of stock movements.

For manufacturing, bring forward experience of raw materials, work in progress, finished goods, production consumption or bills of materials. An employer may particularly value your ability to investigate differences across the production flow and explain them to Finance and Production. State the records and reconciliations you handled.

In technical or project stores, availability for a particular build or job may be central. Include matching deliveries to orders, identifying materials, staging them for teams and following up shortages. If you raise replenishment orders, give the scope of that responsibility.

For food, pharmaceutical or other controlled products, relevant experience may include batches, expiry dates, quarantine or temperature-controlled storage. Describe the product environment and the records you maintain. These details help establish your fit without turning the CV into a procedural manual.

Include the communication that closes a stock query

Stock control depends on information from goods-in, pickers, despatch, customer service, purchasing and finance. Replace a general “good communicator” claim with an example of how you use those relationships to resolve a discrepancy or prevent it recurring.

You might describe agreeing a daily review of problem pallets, explaining a repeated booking error at a shift briefing or providing evidence for a customer shortage query. For handovers, mention the information you maintain about unresolved cases, held goods and actions due.

Coaching is also relevant. If you helped colleagues use revised labels, record returns or complete scanning checks consistently, include the scale and the improvement. Applicants for supervisory roles can add count-team allocation, workload planning and follow-up on overdue actions.

Present progression and practical training

A warehouse background can be a strong route into stock control. Earlier roles can show familiarity with receipt, put-away, replenishment and picking, followed by growing responsibility for records and investigations. The warehouse operative example can help with the earlier part of that progression.

For a first stock-control application, bring forward count participation, checking delivery quantities, researching missing goods, handling returns and using stock systems. Retail experience can provide similarly relevant evidence when you describe the stockroom and inventory work clearly.

List relevant qualifications and completed training with dates. Numeracy, English, warehouse or business qualifications, spreadsheet training and system training can all support the application. Experienced candidates can keep school details brief and give more room to operational evidence.

Purchasing and demand planning may sit beside stock control, but employers need to see the responsibilities you are applying to take on. If your next role includes replenishment planning, show the decisions, information and supplier contact involved. If it centres on inventory integrity, lead with that evidence.

Should I call myself a stock controller or an inventory controller?

Use your actual employment title in the career history. In the profile, you can use the title of the role you are targeting and explain the relevant experience. Where an internal title is unclear, add a short description such as “Stock Administrator — inventory reconciliation”. Employers can then recognise the match without having to interpret company-specific terminology.

Can retail stockroom experience support a stock controller application?

Yes. Bring forward stocktakes, delivery checks, transfers, returns, discrepancy follow-up and stock-system work. Give the size or pace of the operation and explain your responsibility for records. Customer-facing retail duties can be kept shorter when inventory work is the main reason you fit the vacancy.

How should I present short stocktake contracts?

Group repeated assignments under the agency or stocktaking employer, with the overall dates and a short list of settings or contract types. Explain whether you counted, supervised a zone, checked exceptions or reconciled results. Give separate entries to longer assignments where the responsibilities or systems were substantially different.

What if I cannot disclose stock values?

Use another meaningful measure of scale, such as active product lines, locations, sites, count frequency or receipt volumes. Do I need a forklift qualification for stock control?

It depends on the duties. Some posts concentrate on inventory records and investigations; others combine stores work with loading, unloading or high-level counts. Can I apply if the employer uses a different stock system?

Show the stock-control processes you already handle and name your current system.
